Add a customer and use their intake email
An admin opens CRM → Customer Setup and clicks New Customer, picks the Assigned Broker and types the Company Name. The customer's page then shows their SmartLoads intake email for their send list. Loads come in from it once SmartLoads reads that customer's format.
Each customer in SmartLoads gets its own intake email address. Customers send their load emails there.
Admins add customers. Brokers with Customer Setup in their menu can open and edit the customers assigned to them.
Add the customer
- In the left menu, under CRM, click Customer Setup.
- Click New Customer.
- On Customer Info, choose the Assigned Broker and type the Company Name.
- On Source Setup, pick how the customer sends loads in Source Type.
- On Upload Sample, upload an example of their file, or click Skip for Now.
Type the company name only, with no contact names. The name sets the customer's intake email address. Each company name can be used once in your agency.
Copy the intake email
- In Customer Setup, open the customer.
- Under Intake email, find SmartLoads intake email.
- Click Copy.
The address looks like example-customer@inbound.smartloads.io. It's made from the company name when you add the customer, and it stays the same if you rename them later.
Ask the customer to add the address to the list they normally send loads to.
When their emails become loads
The address usually tells SmartLoads which customer an email is for. SmartLoads turns the emails into loads on your board once it has a reader for that customer's format. For a new customer, the SmartLoads team sets up that format first.
Until then, emails to the address make no loads, and the SmartLoads team gets an alert. See how loads get onto your board for the other ways in.
Settings that matter
The customer's page has these switches. They act on the loads from this customer's import source, and each one saves as soon as you flip it.
- Send to DAT: when it's off, these loads stay out of the Export to DAT window.
- Show rate on load boards: off unless you turn it on. While it's off, DAT, Truckstop and the SmartBoard show no rate on these loads. Per-ton loads never get a rate on DAT or Truckstop.
- Keep loads through ship date: when it's on, loads shipping today or later stay on the board overnight and through Clear Board. Each one clears the night after its ship date.
The same page holds the customer's Hours of Operation, Special Notes, contacts, truck size and tarp policy. Click Save Changes after you edit those fields.
Customer settings belong to your agency only.
Frequently asked questions
Can I change a customer's intake email?
No. The address is set once, when you add the customer.
Can a broker add a customer?
Admins add customers. Brokers can open and edit the customers assigned to them.
Will a load board ever show what the customer pays?
No. When Show rate on load boards is on, boards get a carrier pay figure, never the customer's rate.
