Rate cons and the Delivery tab

Updated · 3 min read

In short

CC ratecon@inbound.smartloads.io when the carrier's rate con goes out, or read it in the Outlook panel and click Send to SmartLoads. SmartLoads reads the PDF and matches it to the load. On the board's Delivery tab, check it and click Mark covered. Nothing covers a load by itself.

The Delivery tab collects carrier rate cons and shipper paperwork, each next to the load it belongs to.

Get rate cons into SmartLoads

There are two ways:

  • By email. When the carrier's rate con goes out, CC ratecon@inbound.smartloads.io. Send it from the email address you use to sign in to SmartLoads, so SmartLoads knows your agency. Mail from senders it doesn't recognize is ignored.
  • From Outlook. Open the rate con email, click the SmartLoads icon, then Read this email. The panel shows what it read and the matching load. Click Send to SmartLoads to save it for your team. Until then the panel says Not saved yet.

Shipper paperwork works the same way: forward it to cover@inbound.smartloads.io.

Super intelligence (SI) reads up to three PDFs per rate con email, and up to four per paperwork email. The status says Couldn't read when there's no PDF, when the PDF isn't a rate con, when SI can't read it, or when it names your own brokerage as the carrier.

How matching works

SmartLoads matches a rate con to a load when:

  1. the load number or Aljex Pro # matches a load that fits the rate con: pickup date within three days, or, with no date printed, the same states on a booked load; or
  2. the lane, the date and the booked carrier's MC all match; or
  3. the lane and date match exactly one load that's booked but not covered.

When SmartLoads isn't sure, the status says Pick the load. A broker or admin opens it and clicks This is the load on the right one. A rate con with no pickup date never matches on its lane alone.

Use the Delivery tab

  1. In the left menu, click Smart Loads.
  2. Click the Delivery tab, between Booked and Covered.
  3. Choose Needs action for what's waiting, or All documents for everything.
  4. Click a row. The original PDF is on the left, with Enlarge, Open in new tab and Download. Ready for Aljex is on the right.

Needs action holds shipper paperwork until it has an Aljex Pro #, carrier rate cons until their load is covered, and possible matches until someone picks the load. It covers the last 14 days.

For rate cons, the Status column shows Matched, Pick the load, No match, Couldn't read, Covered or Load covered. Shipper paperwork can also show Ready to cover or Book the load.

Cover the load

Check the rate con against the load, then click Mark covered. The button shows the carrier rate from the rate con. That click covers the load. SmartLoads never covers a load by itself.

  • If the load isn't booked yet, the click books it under your name and covers it. An admin can stop that under Agency Profile → Covering from a rate con by choosing Only cover loads that are already booked.
  • A per-ton load can't be covered from the rate con's total. Use the load's Cover… button with the per-ton rate.
  • If your agency turned on Automatically request driver photos, a window first asks who should get the photo links. Click Continue to cover. Checks still missing are marked pending.
  • Brokers and admins see the Delivery tab on the Smart Loads board, and only they can mark a load covered. Dispatcher-only accounts use the dispatch board, which has no Delivery tab.

Frequently asked questions

Does every agency use the same rate con address?

Yes. SmartLoads works out your agency from the sender's address.

Can a carrier see the customer's rate here?

No. A rate con shows the carrier's rate, and the Delivery tab is only for your team.
